Privacy Policy

Your family recipes are personal. We keep them private unless you choose to share them, we never sell your data, and you can ask for a copy or delete your account at any time.
1. Who we are
RecipeFiler.com (“RecipeFiler”, “we”, “us”) runs the recipe-saving and cookbook service at recipefiler.com. We are the data controller for the personal information described here. You can reach us about anything in this policy at contactus@recipefiler.com.
This policy explains what we collect, why, who we share it with, how long we keep it, and the choices and rights you have. It applies alongside our Terms & Conditions.
2. What we collect
- Account details — your name, email address, username, profile picture and, if you sign up with email, a securely hashed password (we never see or store your actual password).
- Your content — recipes, photos and scans of recipe cards, cookbooks, notes, tags, audio memories, meal plans and shopping lists you create or import.
- Sharing & family details — who you share a cookbook, meal plan or shopping list with, the access you give them, and Family Plan membership and invite codes.
- Subscription & payment details — your plan, renewal dates and payment status. Card details are entered directly with our payment provider, Stripe; we never see or store your full card number.
- Usage & device information — pages visited, approximate country, browser and device type, and error logs, so we can keep the site working and improve it.
- Messages — anything you send us by email or through the site’s contact and feedback forms.
3. How we use it
- To run your account and provide the Service — saving, organising, sharing and displaying your recipes (contract).
- To process subscriptions, renewals, gift codes and refunds (contract and legal obligation).
- To send account emails such as sign-in links, receipts, renewal reminders, share invitations and replies to your messages (contract).
- To read scanned or imported recipes and power AI features such as tidying text, suggesting tags and answering cooking questions (contract).
- To keep the Service secure, prevent abuse and fix problems (legitimate interests).
- To understand how the site is used and improve it, using analytics only if you accept cookies (consent).
We do not sell your personal data, and we do not use your private recipes to advertise to you.
4. Public and private content
New recipes and cookbooks are private unless you choose to make them public. Anything you make public — including its title, photos, ingredients, method and the display name or username you choose — can be seen by anyone, listed in our recipe directory and found by search engines. You can make it private again at any time; search engines may take a little while to update their results.
5. Who we share it with
We use a small number of trusted service providers who process data on our behalf and only for the purposes above:
- Hosting & storage — our hosting platform (Emergent) runs the website, database and file storage for your photos and audio.
- Sign-in — if you choose “Continue with Google”, Google and our sign-in partner pass us your name, email address and profile picture. We do not get access to your Google password, contacts or files.
- Payments — Stripe processes subscription payments and handles your card details.
- Email — Resend delivers our account and sharing emails.
- AI processing — the text and images of recipes you scan, import or ask about are sent to AI providers (OpenAI, Google Gemini and Anthropic) to be read and tidied. They process it only to return a result to us, and under their business terms data sent this way isn’t used to train their models.
- Analytics — Google Analytics and Microsoft Clarity help us understand how the site is used. They only run if you accept cookies.
When you share a cookbook, meal plan or shopping list, the people you share with can see that content. We may also disclose information if the law requires it, or to protect the rights and safety of our users or the Service.
6. Shopping links
Some shopping-list items include “Buy on Amazon” links. These are affiliate links, so we may earn a small commission if you buy something, at no extra cost to you. We don’t send Amazon your shopping list or account details. Once you’re on Amazon’s site, Amazon’s own privacy policy applies.
7. Cookies
We use strictly necessary storage to keep you signed in and remember your preferences, such as your cookie choice and selected shopping list. These are needed for the site to work.
Analytics cookies (Google Analytics and Microsoft Clarity) are only used if you accept them in our cookie banner. If you reject them, analytics are switched off. You can change your mind at any time by clearing this site’s data in your browser, and the banner will ask you again.
8. Voice features
Voice commands and read-aloud in Kitchen View use your browser’s or phone’s built-in speech features. Your device may process your voice using its own provider, such as Apple or Google. We don’t record or store what you say, only the action it triggers (for example, “next step”). Audio memories you choose to record and save are stored with your recipe like any other upload.
9. How long we keep it
- Your account and content are kept for as long as your account is open.
- Recipes and cookbooks you delete go to your bin and are permanently removed after 30 days.
- When you delete your account, your account, recipes and cookbooks are removed straight away.
- Payment and invoice records are kept for as long as UK tax and accounting law requires, usually six years.
10. Your rights
Under UK data protection law (UK GDPR) you have the right to access your data, correct it, delete it, restrict or object to how we use it, and receive a copy in a portable format. You can also withdraw consent for analytics at any time.
You can edit most details yourself on your Profile page, and you can delete your account there at any time. For anything else, email contactus@recipefiler.com and we’ll respond within one month.
If you’re unhappy with how we’ve handled your data, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).
11. Security
All traffic to RecipeFiler is encrypted with HTTPS. Passwords are stored hashed, private content is only available to you and the people you share it with, and access to our systems is restricted. No online service can be completely secure, so please use a strong, unique password and keep your sign-in details to yourself.
12. International transfers
Some of our providers process data outside the UK, for example in the United States or the EU. Where they do, we rely on the safeguards UK law provides, such as adequacy decisions or standard contractual clauses, to protect your information.
13. Children
RecipeFiler accounts are for adults. Children can enjoy cooking with RecipeFiler alongside a parent or guardian, using the grown-up’s account. We don’t knowingly collect personal data from children under 13. If you think a child has given us their details, please contact us and we’ll delete them.
14. Changes to this policy
We may update this policy as the Service changes. We’ll change the “Last updated” date above, and if a change is significant we’ll tell you by email or with a notice on the site.
15. Contact
